Quick answers before you start

What should I prepare for a UAE VAT assessment?

Describe the business's supplies, purchases and imports, and provide the underlying invoices and contracts. The assessment needs transaction evidence; bank receipts alone do not establish the registration calculation or treatment of each item.

What should VAT return support include?

Agree the period, transaction records, reconciliations and review responsibilities. Identify who resolves classification questions and approves the return, with registration work or corrections from earlier periods separately included where required.

A registration brief

Organise entity information, activity evidence and turnover records for review against the applicable registration route.

A reconciled period file

Connect sales, purchases, imports and adjustments with VAT control balances and supporting transaction records.

An approval and evidence record

Keep management approval, submission and payment confirmations together with the schedules supporting the agreed period.

Transaction treatment and registration obligations need case-specific review. Confirm who provides advice and submits; service fees do not include tax payable or penalties.

A traceable period file and a reviewed filing position

Registration work and recurring return preparation can be separate engagements.

Follow the connection from working accounts through the adjustments and review to the filing record. Keep evidence for each change.

The work, step by step

From VAT assessment to recurring returns

Establish the registration position, organise transaction evidence and set a review routine around the taxpayer’s assigned periods.

  1. 01

    Assess registration and activity

Review the business model, taxable turnover, expected activity and existing registrations. Identify the relevant threshold test or non-resident position.

  2. 02

    Prepare the application or workflow

Collect entity records and activity evidence for registration, or review the existing tax codes, invoice process and return timetable for ongoing support.

  3. 03

    Review the reporting period

Compile sales, purchase, adjustment and import information. Investigate unusual entries and missing documents before using the figures in the return.

  4. 04

    Reconcile and obtain approval

Reconcile the return workings to the books and record the treatment of material questions. Management reviews the proposed submission and payment amount.

  5. 05

    Submit and maintain the evidence

Complete the authorised filing and arrange payment. Preserve the acknowledgement, calculations and supporting documents, then address any follow-up requests.

Prepare with a clear checklist

Documents required for VAT support

Registration evidence and recurring return records serve different purposes. Use the relevant groups below to prepare the work without assuming every document applies to every business.

3 preparation items

Entity and registration evidence

Prepare incorporation or constitutional records, commercial registration, current licences and relevant owner and authorised-signatory identification. Include proof of authority when required.
The FTA requests a signed and stamped declaration of taxable supplies and monthly sales, supported by the invoices, contracts or other evidence relevant to the application.
Where eligibility relies on forecast revenue or taxable expenses, provide the supporting contracts, orders or qualifying purchase invoices requested for that route.
2 preparation items

Periodic return records

Include tax invoices, credit notes, refunds and relevant transaction exports for the tax period, with the coding used in the accounting system.
Where applicable, supply customs information, shipping evidence, contracts and reconciliations explaining differences between recorded purchases and import data.

The bank-information letter is optional on the FTA registration checklist; other evidence depends on the application route.

Accounting / The essentials

Connect VAT obligations to the way your business trades

Our VAT support starts with the way your business sells, buys and moves goods or services. The starting questions are whether registration is required, which transactions need review and how the accounting system captures the evidence. Registration is one milestone; invoicing, return preparation, payment and ongoing records form the continuing workload.

A retailer, consultant, property business and international trader can have different VAT questions. Identify customer and supplier locations, delivery arrangements, contracts and payment flows before assigning tax codes. For an ecommerce business, include marketplace settlements, refunds and imports in that review rather than judging turnover from net bank payouts.

VAT registration, transaction evidence and return review

Identify which registration and transaction questions need a tax reviewer’s decision.

01

How should I check whether VAT registration is due?

A UAE-resident business must register when taxable supplies and imports exceed AED 375,000 over the previous 12 months, or are expected to exceed it in the next 30 days. The voluntary threshold is AED 187,500, with taxable expenses also relevant; foreign businesses need a separate assessment. Prepare a month-by-month turnover schedule, identify which amounts enter the test and retain the supporting invoices and contracts. The FTA registration service requests a signed turnover declaration. Use the records to establish the obligation and timing before completing the application. 02

Keep evidence for the VAT treatment of each supply

Review the actual supply rather than relying on the customer’s address or a label in the accounting software. Contracts, invoices, import documents and evidence of delivery may all matter. Cross-border transactions, property, mixed activities and designated-zone goods can require more detailed analysis. Keep the reasoning behind unusual treatment with the transaction records.

03

Reconcile and approve the VAT return

Return preparation should reconcile sales and purchase records with the VAT control accounts and relevant import information. Resolve credit notes, adjustments and missing evidence before management approves the figures. If the source records are incomplete, agree the bookkeeping work needed first. Retain the return, payment record and supporting schedules together.

VAT fees and ongoing costs

Separate application support from recurring return work and transaction-specific advice when comparing proposals.

Registration supportThe professional scope may include eligibility review, preparation and application follow-up. The FTA VAT registration service itself is free.
Return preparation and filingWorkload depends on transaction volume, return frequency, record quality, imports, adjustments and the number of activities being reviewed.
Transaction advice and correctionsComplex supplies, historic errors, refund applications or deregistration work require a defined additional scope where not already included.
Software, tax and official chargesAccounting tools, tax payable and any applicable official penalties are separate from service fees and should be clearly identified.

Before submission

Registration preparation

Turnover evidence, entity records and any supporting forecasts need to be assembled before the application is complete.

Looking ahead

After registration and each return

VAT records should develop alongside the company’s commercial activity.

Maintain invoicing information

Check that the tax registration details and agreed invoice process remain current when staff, systems or trading names change.

Review new transactions

Assess new products, overseas arrangements or property transactions before copying an existing tax code that may not fit the supply.

Monitor registration changes

A business closure, activity change or reduced turnover may require an amendment or deregistration review. Continue managing obligations until the appropriate process is completed.

UAE VAT registration and return questions

Need to discuss your own circumstances?

Is turnover the same as cash received for VAT registration?

Not necessarily. The test concerns relevant taxable supplies and imports, not simply bank receipts. Use a transaction-based calculation supported by invoices and contracts.

Can registration be voluntary?

Yes, where the applicable conditions are met. For resident businesses the voluntary threshold can involve taxable supplies, imports or taxable expenses, assessed over the prescribed periods.

Does a free zone licence remove VAT obligations?

No. The transactions and registration rules still need review. Designated-zone treatment is specific and should not be assumed to apply to every free zone business or service.

Can VAT be recovered on every business expense?

No. Recovery depends on the relevant conditions and supporting evidence. A payment or receipt alone does not establish that all VAT on a cost is recoverable.

Do branches need separate VAT returns?

The FTA states that a company’s branches are included under the parent’s VAT registration and a single return. Confirm that all relevant branch information is included in the records.

Is VAT registration the same as Corporate Tax registration?

No. They are separate registrations and use different tests. Review Corporate Tax registration and responsibilities independently, even when the business already uses EmaraTax for VAT.
