What does audit preparation and coordination cover?

Audit coordination organises schedules, supporting evidence and responses for the independent auditor. The engagement should define the reporting period, company contact and file handover; the auditor's examination and opinion are a separate professional engagement.

What determines the audit preparation timetable?

The timetable depends on the relevant reporting requirement, the condition of the accounts and the availability of evidence and management responses. Establish open balances and missing records before agreeing when the file will be ready for the auditor.

What the work covers

Expand a deliverable for the detail.

An engagement preparation file

Identify the entity, reporting period, intended report and records needed to support the auditor’s agreed engagement.

An indexed evidence pack

Connect the trial balance with supporting schedules, contracts and transaction records requested for audit work.

A query and approval tracker

Assign outstanding questions to informed contacts and record responses, management approvals and final handover actions.

The appointed independent auditor determines audit procedures, findings and the audit opinion. Coordination and accounting cleanup are distinct from the auditor’s engagement.

Preparing the company for an independent audit

Bring the engagement, financial evidence and management responses into a coordinated process with clear professional responsibilities.

  1. 01

    Confirm the reporting requirement

Identify the authority, lender or other recipient and establish the reporting period, submission format and any auditor-approval conditions.

  2. 02

    Agree the auditor engagement

Coordinate the information needed for the auditor’s proposal and appointment. Clarify responsibilities for preparing accounts, supplying evidence and approving the final statements.

  3. 03

    Prepare the audit file

Review the trial balance and assemble schedules. Resolve missing reconciliations or unsupported opening balances before they become repeated fieldwork queries.

  4. 04

    Coordinate fieldwork and responses

Track requests from the auditor and route them to the right company contact. Keep a version record of revised schedules and proposed accounting adjustments.

  5. 05

    Complete approval and submission

Coordinate management review and signatures after the auditor completes its work. Where filing support is included, retain the final report, submission receipt and outstanding follow-up actions.

Prepare with a clear checklist

Documents required for audit coordination

The auditor determines the final evidence request. This preparation pack helps assess readiness and identify work needed before fieldwork begins.

2 preparation items

Entity and engagement

Provide current constitutional documents, licences, shareholder information and relevant changes during the year, together with the audit appointment and engagement letter.
Include comparative accounts, prior audit adjustments and any management-letter points that remain open or affect the current period.
3 preparation items

Financial evidence

Prepare ledgers, bank reconciliations, customer and supplier ageing, fixed-asset schedules, loans and other material balance-sheet explanations.
Make material sales, purchasing, lease and financing agreements available alongside invoices, credit notes and other source evidence requested by the auditor.

Accounting / The essentials

Prepare the company file for an independent audit

We prepare the company file and coordinate responses for your appointed independent auditor. It brings together the engagement timetable, requested schedules, supporting evidence and management responses so that the audit can progress with fewer avoidable gaps. The auditor remains responsible for the audit procedures, professional judgements and final opinion.

Start with the reason for the audit: a free-zone filing, a lender request, a shareholder requirement or a particular transaction. Confirm the entity, period, report recipient and appointment rules before agreeing dates. Accounting preparation should produce a reconciled file; coordination then manages the requested schedules and responses without replacing the independent auditor’s work.

A closer look

Audit scope, evidence and response responsibilities

Plan the company’s preparation around the independent auditor’s request list.

01

Confirm the audit purpose and auditor requirements

The engagement should name the entity, reporting period, applicable reporting framework and intended report. Check the auditor’s professional registration and any additional approval required by the company’s jurisdiction. For example, DMCC has its own approved-auditor requirements. The selection should reflect the actual filing or commercial purpose, rather than assuming one appointment is accepted everywhere. Source: DMCC: Audited financial statements submission guidelines.

02

Assemble schedules that support the trial balance

Build the audit pack around the trial balance, with schedules supporting material assets, liabilities, income and expenses. Keep contracts, invoices, ownership documents and approvals accessible. The auditor may request confirmations or additional evidence directly from third parties; coordination helps track those requests without controlling the evidence or the auditor’s conclusions.

03

Track audit queries and management responses

Audit queries work best when the business assigns an informed contact for each area. A finance contact can explain reconciliations, while operations or management may need to explain contracts, stock movements or forecasts. Maintain a shared query record that identifies the evidence supplied, the response owner and matters still awaiting the auditor’s review.

Plan your budget

Audit coordination fees and separate charges

The company should be able to distinguish preparation and coordination costs from the independent auditor’s fee.

Cost components and what each covers
Cost componentWhat to account for
Readiness review and coordinationThe scope may cover the audit timetable, evidence index, request tracking and the agreed management handover.
Bookkeeping or accounting remediationMissing records, incomplete reconciliations and historical corrections can require separate preparation work before the audit proceeds.
Independent auditor’s feeThe auditor quotes for its own engagement based on scope, risk, complexity, locations and the condition of the company’s records.
Additional reports or filing workSpecial-purpose reports, translations, authority forms or additional periods should be identified separately where they are outside the original engagement.

No coordination fee can guarantee an unmodified opinion or a particular audit finding.

Know what happens when

Preparation and audit milestones

Work backwards from the relevant submission date and agree the auditor’s fieldwork window before committing internal resources.

Before fieldwork

Appointment and readiness

The engagement, prior accounts and reconciled schedules should be available. Material gaps may require a separate preparation phase.

Auditor’s agreed programme

Audit evidence and queries

Timing depends on document quality, third-party confirmations, management responses and the auditor’s assessment of the evidence.

After audit completion

Approval and filing

Allow time for management approval, signatures and recipient-specific submission steps. Confirm the current deadline and any authority notice for the company.

Looking ahead

After the audit

Use the completed engagement to improve the next reporting cycle and preserve an accessible final file.

Record agreed adjustments

Ensure approved audit adjustments are reflected in the books and reconciled to the signed financial statements used for other reporting.

Follow up control observations

Assign owners and target dates to practical improvements raised by the auditor, such as missing approvals or weak reconciliation routines.

Keep the final submission record

Archive signed statements, the audit report, authority acknowledgements and the version supplied to banks or shareholders.

Audit preparation and coordination questions

Need to discuss your own circumstances?

Is audit coordination the same as providing an audit?

No. Coordination organises the company’s preparation and responses. The independent auditor performs the audit and issues the opinion under a separate professional engagement.

Does every UAE company need the same audit?

Requirements differ by legal form, jurisdiction, tax position and contractual obligations. Start with the company’s applicable requirements and intended report recipient.

Can any audit firm be used for a free zone filing?

Check the authority’s rules. DMCC generally requires an auditor on its approved list; its published guidance makes an exception for a registered branch using a group auditor. Confirm which rule applies to the company and reporting period before appointment.

What if the books are not ready?

Identify missing schedules and unreconciled balances before fieldwork where possible. Agree a separate bookkeeping catch-up scope or accounting review, then set the audit timetable around when reliable evidence can be supplied.

Who answers the auditor’s questions?

Management remains responsible for the company’s information. Coordination can organise responses, but operational explanations and approvals need to come from the people with knowledge and authority.

Can a completion date or clean opinion be guaranteed?

No. The auditor determines what evidence is needed and whether it supports the statements. A realistic timetable includes time for unresolved questions and management review.
