Quick answers before you start

What should I confirm before requesting a certified true copy?

Obtain the receiving institution's instructions for the original, accepted professional, wording and inspection method. Use those requirements to arrange certification rather than assuming any stamped copy will satisfy the recipient.

What should the certification engagement identify?

Identify the document, intended use and professional or authority whose certification will be accepted. Confirm any separate authentication or translation requirements before arranging the appointment and delivery of the final copy.

The service in brief

Get the recipient’s certified-copy requirements right

What the work covers

Expand a deliverable for the detail.

A recipient requirements note

Record permitted certifiers, required wording, pages and recency conditions before copies are produced.

An original-and-copy file

Identify the original record, pages and identification needed for the professional’s inspection.

A delivery and onward-use plan

Check the completed certification and any additional authentication against the recipient’s request before dispatch.

Certification must be performed by an appropriate permitted professional. The recipient determines acceptance; certification is not universal authentication of the contents.

What this helps you prepare

A document prepared for its stated purpose

The receiving institution determines what it accepts; confirm the route before arranging appointments.

Prepare with a clear checklist

Documents and instructions to prepare

This checklist supports coordination. The appointed certifier decides what they can certify and how originals must be examined.

2 preparation items

Document set

Provide the complete document in the form accepted by the certifier. For a digital record, preserve the original file and its verification mechanism.
Identify every page required by the recipient. Include reverse sides, attachments or amendments where relevant rather than assuming the front page is sufficient.
2 preparation items

Identity and recipient instructions

Have current identification available where required for the appointment. If someone handles documents for you, confirm the permitted arrangement with the provider.
Share the institution’s checklist, certification form and delivery instructions. Note whether the final submission requires a physical endorsed copy, scan or electronically verified document.

The receiving authority or appointed professional confirms the final checklist.

The work, step by step

How copy-certification coordination works

The sequence begins with acceptance requirements and ends with a checked, traceable handover.

  1. 01

    Clarify the exact request

Obtain the recipient’s instruction and identify the document’s issuing country. Separate true-copy certification from any requested witnessing or legalisation.

  2. 02

    Confirm an appropriate certifier

Check that the proposed professional’s role and certification method are accepted. Arrange any required original inspection and clarify what the quoted service includes.

  3. 03

    Prepare the complete document set

Check legibility and page order, preserve digital verification details, and provide the recipient’s required wording for the certifier’s review.

  4. 04

    Complete certification and onward steps

Follow the professional’s procedure. Coordinate translation or authentication only where it forms part of the confirmed acceptance route.

  5. 05

    Check and deliver the output

Review names, dates, page coverage and endorsement details without altering the certification. Record delivery and the return of any original documents.

Services / The essentials

Get the recipient’s certified-copy requirements right

A bank, university or overseas authority may ask for a certified true copy rather than the original document. Before arranging it, obtain the exact request: the pages to copy, who may certify them, the required wording and how recent the endorsement must be. Copy certification, signature witnessing and document authentication answer different requirements.

Firswood Consultancy, trading as CompanyFormation.ae, directly manages the certified-copy service, from collecting recipient instructions to arranging inspection and checking the completed document. The certification itself must be made by a professional whose status and procedure the recipient accepts. Provide any prescribed bank or authority form before the appointment so the requested endorsement can be checked.

A closer look

Recipient requirements, originals and authentication

A certification stamp is useful only when it answers the request made by the institution receiving your document.

01

Who can certify the copy for your recipient?

Ask for the full written requirement, including whether all pages are needed, who may certify them and whether the certification must be recent. An overseas regulator may have a different checklist from a local bank or university. Where wording is prescribed, send it to the proposed certifier in advance. This prevents a perfectly readable copy being rejected for the wrong endorsement.

02

Which original must the certifier inspect?

Identify what constitutes the original for this document. A physical passport, an electronically issued certificate and a downloaded statement are not interchangeable formats. Arrange inspection in the manner accepted by the certifier and recipient. Keep document pages intact and avoid adding edits, cropping verification codes or combining unrelated records into an apparently official single document.

03

When is further document attestation needed?

A recipient may require a certified copy to undergo further authentication or legalisation. Establish that sequence before the copy is certified, especially where it will cross borders. The document attestation requirements should be checked for that origin and destination. MoFA authentication of signatures and seals does not replace the recipient’s own copy-certification instructions. Source: UAE Ministry of Foreign Affairs: document attestation.

Plan your budget

Certification and handling costs

Charges depend on the document set and the acceptance route, not simply the number of files attached to an email.

Cost components and what each covers
Cost componentWhat to account for
Professional certificationThe authorised provider may price per document, page, copy or appointment. Ask how multi-page records and additional originals are treated.
TranslationA required translation is a separate service. Confirm whether the recipient needs the original and translated versions certified together.
Authentication or legalisationFurther government or consular stages are additional where needed. The route depends on origin, destination and document type.
Coordination and deliveryState any administrative, courier or collection charges and agree how valuable originals will be handed over and returned.

Request a written scope and current third-party charges before committing.

Know what happens when

Recipient checks and certification

The main timing risk is discovering the recipient’s requirement after certification has already been completed.

Before booking

Acceptance check

Allow time for the recipient to confirm permitted certifiers and for the professional to review unfamiliar document formats.

Provider appointment

Certification

Timing depends on original availability, document volume and the provider’s procedure. Remote handling should never be assumed.

If required

Onward authentication

Additional authorities or consulates set their own processing arrangements, independent of the copy-certification appointment.

Looking ahead

Using and preserving the certified copy

Keep enough information to explain what was certified and for whom.

Preserve the complete output

Retain every endorsed page and accompanying verification record. Avoid separating a certification sheet from the document it identifies.

Track the recipient’s response

If a copy is rejected, ask for the precise deficiency before commissioning new work. The problem may be wording or format rather than authenticity.

Recheck later applications

A previous certification may not satisfy a new institution or a recency condition. Confirm acceptance before reusing it elsewhere.

True copy attestation questions

Need to discuss your own circumstances?

Is true copy attestation the same as MoFA attestation?

No. Copy certification and MoFA authentication address different requirements. The receiving institution determines whether it needs one, both or another procedure.

Who manages the service and certifies the copy?

Firswood Consultancy directly manages the service. The copy must be certified by a professional or authority whose status, wording and inspection procedure the receiving institution accepts. The engagement should identify that professional before the document is presented.

Must I present the original?

Expect the certifier to establish what original must be inspected and how. A scan sent by email should not be assumed sufficient for every document or recipient.

Can a bank’s own certification form be used?

Provide the bank’s form before the appointment so the proposed certifier can confirm the declarations they can make. For an account application, keep this alongside the wider bank onboarding requirements; one certified document does not complete the bank’s review.

Does certification prove the contents of a document are accurate?

Do not treat a copy endorsement as an investigation into every underlying statement. Its scope depends on the certification actually given.

Can I use one certified copy for several applications?

Only where each recipient accepts it. Check document age, wording, format and whether the institution retains an original certified copy.
